Handling Employee Grievances

To establish a structured process for addressing and resolving employee grievances in a fair, transparent, and timely manner to maintain workplace harmony. This SOP applies to all employees, managers, and HR personnel involved in the grievance process.

Handling Employee Grievances

  • Report the Grievance
    • Employees submit grievances through
      the [Grievance Reporting System/HR
      Portal].
  • Acknowledge the Grievance
    • HR acknowledges receipt of
      the grievance within [X
      business days].
    • Notify the employee of
      the next steps, including
      timelines for the investigation.
  • Investigate the Grievance
    • Assign an impartial investigator
      or team to handle
      the case.
    • Collect evidence and conduct
      interviews 
    • Document all findings in
      an investigation report.
  • Determine Resolution
    • Review investigation findings with
      relevant stakeholders 
    • Decide on appropriate corrective
      actions, such as:
  • Communicate the Outcome
    • Notify the complainant and
      respondent of the resolution
      in writing.
    • Provide support resources (e.g.,
      counseling services) if needed.
  • Monitor and Follow Up
    • Ensure corrective actions are
      implemented effectively.
    • Schedule a follow-up meeting
      with the complainant
